How to find the right wholesale buyers and start real conversations, without burning your domain or your list.
Most wholesale outreach fails before the first email goes out. The brand blasts one generic message to a huge list, gets flagged by spam filters, and concludes that cold email doesn't work.
It does work. But the brands that win at it do a few specific things differently. Here's the playbook we've seen work across the brands on Overjoy.
1. Buy separate sending domains before you send anything
Never run cold outreach from your main domain. If your deliverability takes a hit, you don't want it taking your order confirmations and customer emails down with it.
Buy one or two separate sending domains (something like yourbrand-wholesale.com), set them up properly, and let them warm up before you ramp volume. Overjoy handles domain and mailbox warmup for you and runs deliverability checks, so your emails actually land in the inbox instead of spam.
This is the least glamorous step and the most important one.
2. Pick 2-3 specific targets, not "all retailers"
"Gift shops in the US" is not a target. "Independent gift shops in the Northeast that carry premium home goods" is.
Choose 2-3 specific retailer profiles and build a separate campaign for each. Think about:
- Store category and the brands they already carry
- Geography
- Independent vs. multi-location
In Overjoy, you can describe your target in plain language and Lead Generation turns it into a filtered list with decision-maker contacts and verified emails. Review the first batch by hand before you expand. If the stores don't look like places you'd want your product in, tighten the filters before adding more leads.
3. Write well-researched emails, not templates with a first name swapped in
Buyers can smell a mail merge. The emails that get replies mention something true about the store: what they carry, where they are, why your product fits their shelf.
Overjoy does web research on each lead so every email can reference the actual store. Your job is to give it good raw material: clear positioning, real proof (stores you're already in, sell-through numbers you can stand behind), and a tone that sounds like you.
Keep it short. Three or four sentences beats four paragraphs.
4. Make the CTA easy
Don't ask a cold buyer to "hop on a call." That's a big ask from a stranger.
Offer something small and useful instead:
- "Want me to send a few samples?"
- "Happy to share our linesheet and wholesale pricing"
- "Can I share more details?"
The goal of the first email is a reply, not an order. A low-friction CTA gets you the reply, and everything else follows from the conversation.
5. Monitor reply rates and double down on what works
Check your campaigns regularly (weekly is a good rhythm). Compare your 2-3 target segments against each other: which one is replying, and which replies turn into sample requests and opening orders?
When a segment works, double down. Add more leads that match that profile and refine the message further. When a segment doesn't, change one thing at a time (the audience, the offer, or the CTA) instead of rewriting everything at once.
Overjoy's dashboard tracks this per campaign, and replies flow into your Sales Inbox with the full business context so you can pick up the conversation right away.
Prospecting isn't about sending more email. It's separate domains, a specific target, a researched message, an easy yes, and doubling down on the segments that respond. Get those five right and the pipeline takes care of itself.
